Automated Emails Overview

As a membership platform, Join It supports our customers by automating the membership life-cycle. Typically, these automated emails save our customers 100s of hours per month - and automated emails can be triggered across a variety of different events.

One of these membership life-cycle events is when a membership is due for renewal.

In the case where a membership is approaching it's Expiration Date, the system can be set up to send a Renewal Reminder (Type A). These can be configured to automatically deliver:

  • 1 day before an membership's Expiration Date

  • 2 days before an membership's Expiration Date

  • 7 days before an membership's Expiration Date

  • 30 days before an membership's Expiration Date

These emails can be configured to deliver on each - or all - of these 'events'. So you don't have to only choose one.

As an aside, there's a separate email called Renewal Reminders (Type B) which is triggered ahead of an automatic renewal - when the membership is set up to automatically rebill - so that you can customize the message separately for each of these different scenarios.

Details of Renewal Reminder (Type A)

Renewal Reminders (Type A) are emails that automatically sent ahead of an Expiration Date. These can be scheduled to send at multiple 'events' before a membership expires (1 day, 2 days, 7 days, 30 days).

Features of Renewal Reminder (Type A) emails:

  • Customizable message (can be set by Membership Type): Many organizations will include custom messages in the Renewal Reminders to personalize the message that prompts folks to renew.

  • Includes a unique Renewal Link: Each renewal reminder includes a unique link that the recipient can use to renew their membership in 1-step. This unique link takes the recipient right into the 'checkout' page with all of their information pre-populated.

  • Adjust which admins are notified: In the Communications tab, organizations can adjust which admins are included on BCC of this type of message.

Setting up the Renewal Reminder (Type A)

Reminding your members to renew their membership with your organization is easy with Join It. With a few simple steps, you can set up friendly emails that are triggered in advance of an expiration date. Set it and forget it :)

  • Step 1: select "Create Reminder": To start, from the "Renewal Reminder" section of the Communication feature, select the "Create new renewal Reminder" button.

  • Step 2: configure your email: Use the drop downs selectors to choose which membership type (or "All Membership Types") will receive this particular message. Then, set how many days in advance of an upcoming expiration date this message should be sent.

  • Step 3: set the email content
    Lastly, add a bit of body to this email and include a subject line. You may want to remind members what it is that they are purchasing -- outlining any important member benefits or other information that may be pertinent.

When the email is set up to your liking, click "Create Reminder" when finished to set the reminder live!

Frequently Asked Questions

How do I change the Reply-to email?

You can edit the 'Reply-to' email under the 'Profile' tab in your Dashboard here. You'll just click on the 'Profile' tab then click 'Profile info' then 'Update profile information' and on that page you can edit your Organization's Contact Email.
